The MAC Governance Subcommittee Associate is accountable for day-to-day coordination and organization of the activities and planning of work for the Subcommittees of the Medical Advisory Committee (MAC) and all of their accountabilities identified in the subcommittee's terms of reference or scope approved by the MAC.
The role will support the Chair(s) of the subcommittees of the MAC by coordinating meetings, preparing for meetings and all documentation needed for meetings and help the respective subcommittee Chair by providing comprehensive administrative support to and serve as a liaison. They are expected to liaise with the Integrated MAC Governance EA and ensure that coordination of all tasks and deliverables are fulfilled. This position also supports process improvement of the daily operations within the Medical Affairs department and team and provides support to the Leader as required.
The Associate will also support the coordination and review of all medical directives and policies that are reviewed by the MAC.
Regular Full - Time
Rate of Pay: $27.54 per hour - $34.42 per hour
Hours of Work: 37.5 hours per week, please note this role may require flexibility to work outside of regular business hours to meet partner needs as necessary.
Qualifications
- Successful completion of a college diploma in Administration, Business, or an equivalent as determined by the hospital
- 3 years recent related experience
- Progressive administrative support to senior or executive leadership preferred
- Progressive administrative support to senior or executive leadership preferred
- Knowledge of Software and computer applications: MS Office, electronic document management systems
- Excellent English communication skills (written and verbal)
- Typing 60 words per minute
- Knowledge of parliamentary meeting procedures (i.e. Robert's Rules, voting on motions, need for quorum, etc.)
- Ability to record and prepare clear and concise minutes of meetings, and to accurately summarize complex issues raised during meeting discussions, with experience in writing reports for governance bodies such as Boards
- Write, edit, proofread, gather and present information. High degree of discretion, accuracy and attention to detail
- Strong ability to work independently and as part of a team/job-share and the ability to liaise with all levels of staff across the organization in a professional and courteous manner including Council members and legal representatives
- Responsive and pro-active
- Ability to handle confidential information with discretion and diplomacy
- Ability to remain professional while attending to multiple priorities, take initiative, and use sound judgement
- Knowledge of medical terminology and legal terminology would be an asset
- Additional courses in medical terminology required (if not from a medical program)
- Ability to communicate and deal effectively with senior staff.
