COORDINATOR BOARD AFFAIRS

Temporary Part-Time Position (up to 15 hours per week)
Location:  Hybrid:  Work From Home and Multi-Site - Strathroy Middlesex General Hospital, Four Counties Health Services and Off-site Locations

Position Overview:
Middlesex Hospital Alliance (MHA) is seeking a temporary part-time Coordinator Board Affairs reporting directly to the President & CEO.  The Coordinator serves as administrative assistant and liaison to the Board of Directors. The Coordinator will work collaboratively and extensively with the President & CEO, Board Chair, Board Executive and Chairs of Board Committees. 
The Coordinator must enjoy working within a small, cohesive, open and transparent environment that is mission, vision and values driven, and team and community oriented. The ideal individual will have the ability to collaborate in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a balance among multiple priorities. The role must be able to work under pressure at times to handle a wide variety of activities and deadlines, and manage confidential matters with discretion.

Job Duties and Responsibilities:
 
  • Provide administrative support to MHA Board Chair e.g. scheduling appointments, etc.
  • Communicate and collaborate regularly with President &  CEO, Board Chair, Chief of Staff and Board Executive regarding Board Affairs 
  • Discuss with the President & CEO and Board Chair matters requiring attention, with associated deadlines and preparing relevant documentation.
  • Communicate and liaise effectively with various internal and external stakeholders regarding Board Affairs i.e. legal, Foundations, Auxiliary etc.
  • Compose, prepare, validate and distribute agendas and related documentation with President & CEO, Board Chair, Senior Leadership, Board of Directors and Board Committee Chairs
  • Schedules, arranges catering and books meeting rooms (internally and externally) for Board meetings, Board committees, Advancements, etc 
  • Attend all meetings of the Board of Directors and Committees of the Board
  • Compose and prepare minutes of the Board, and Board committees. Review and finalize minutes with President and CEO, Board Chair and Committee Chairs. 
  • Prepare draft Briefing Notes, presentations and other documents
  • Assist with development, revision and maintenance of board policies  
  • Supports Board members: assists with coordination of orientation and education of  Board members, maintain board members Educational Log, expense claims etc.
  • Keep an updated record of MHA Directors with the Ontario Business Registry and communicate changes in Directors roles  for Foundations, Annual Members Meeting etc.
  • Project and maintain professional and friendly manner during all interactions with internal and external stakeholders.

Required Education, Skills and Qualifications:
 
  • Undergraduate Degree or Community College Diploma
  • Minimum 3-5 years administrative or executive assistant experience
  • Previous Board experience an asset
  • Hospital experience an asset
  • Additional education in governance, an asset
  • Knowledge of Nathan’s Company Meetings Including Rules of Order 
  • Superior oral and written communication skills
  • Attention to detail
  • Excellent organizational skills, and prioritize multiple tasks to meet deadlines
  • Ability to establish and maintain collaborative working relationships
  • Ability to work independently, and with a team
  • Receptive to feedback
  • Committed to service excellence
  • Ambassador for the MHA and has values that align with the MHA
  • Must have a driver’s license and access to a vehicle
  • Demonstrated excellent attendance record
  • Advanced skill in Microsoft Office Suite Programs (Word, Excel, PowerPoint)
  • Must provide vaccination records or proof of immunity against measles, mumps rubella and varicella (chicken pox)
  • Must provide documentation of the Tuberculosis skin testing within the previous 12 months and documented proof of 2 Covid 19 vaccinations
